Agenda1: Alfresco SWOT

Strengths

-          Turnout was good- more students attended

-          Atmosphere was lively

-          Generally a success

-          A lot of people stayed until the end, after the movie

-          Clean up was quick, everyone took responsibility of their own stalls

-          Exceeded target in terms of money earned

-          Most stalls cleared their merchandise

-          Council booth covered cost

-          People generally enjoyed themselves

Celine: Everyone helped to put up deco/ Lights were pretty

Leonard: Movie at piazza was a good idea; it led to a better experience- screen was tied well

Amanda: Pleasantly surprised by the atmosphere. Music was played. Good that people stayed until the end of the movie. Stall donated ice lollies to us (: flexibility, when people needed help, they offered their help. Councillors walked around to check out whether there was anything that needed help on.

Heidi: Admin booth was organized, each person there knew what to do.

Aik Seng: Target was reached because of SA’s foresight. Melvin anticipated more people to buy coupons. Everyone was sure what they were doing. Planning started early, meetings were not rushed. Stephanie and Val had a realistic timeline because they understood the wing well. Agendas were clearly defined and reasonable.  Mr. Thow was very helpful- appreciation gift. Support from college was good. MRs Kong and a lot of teachers and their kids came down. Publicity was good. Attendance rate was much higher from both teachers and students. Positive comments- they enjoyed themselves, didn’t mind staying, there was variety. Recreational side covered, not just food. Deco this year was more substantial and fell in line with our theme – A night under the stars. We had foresight. Starts from grad night could be reused- reutilize our resources. Made students feel a sense of involvement- both buyers and sellers. Logistics set up support to stall holders was good

Brian: I are good emcee

Gladys: deco—footprints were well done. Trying to figure out how to stick the footprints came out with a good idea. A good method of publicity is this. A lot people didn’t notice the posters.

Maybe should add colour or make it bigger. Able to come with a good plan for the longkang fishing like what obstacles to add to increase the challenge.

Steph: info was disseminated to the 3 wings well. After Alfresco, people were manning the chocolate booth.

Miss Olsen: Overall was good. Fairly good stalls. Good mood. Entrepreneurship was well done.Big pictures good

Weaknesses

-          Stalls started late, did not start at 530pm

-          Disorganized, people coming at different times

-          Whole programme delayed

-          Locations of some stalls were not good. Lights went off early eg. Nerf gun

-          Not enough publicity- eg haunted house

-          Security preserved despite a few outsiders

Celine: A lot of people on council booth not doing duty because of miscommunication of duty, did not turn up for duty. Haunted house screaming during the movie

Leonard: OM had attitude problem although he helped us with the set up

Heidi: People on duty did not turn up, same 4 people stationed at admin booth the whole night

Reuben: Publicity of Nerf gun and haunted house was no good. Very few people inititally.

Aik Seng: Some people idling around- no need to mention names. Dissemination of information of roles were not clear. Could have a small handout incl. duty list and job scope to ensure more perfect knowledge. Animal cruelty!- Have we thought about what the poor fishes felt? SPCA’s message- If we’re not ready, don’t get animals. Allure of the game> moral practices. Keep everyone updated on the wing so that there will be proper dissemination of info. Communication/ attendance not full even for non-official events. Problem on wing level – sometimes too caught up on getting Alfresco done, review Common Test results. Efficiency was definitely not practiced all the time. We start late/ end late, sometimes unsure during meeting. Aik seng heard that the sound system was bad but everyone else said otherwise.  Over catered some stalls did not make as much profit or even loss.

Brian: Stall owners were late. Was waiting for people since 430, they came at 530. Whole programme pushed back. Returned tables late, Brian did not get to watch UP. Solution:  SMS them reminders so they have a clearer idea of what to do on the day itself

Amanda: Lateness might be because of CCA timings. Should we alter our timeline instead to fit theirs since we can’t change their CCA timings? Councillors were not aware of ticket selling duty. No board. Board was only put up on the 2nd day.

Melvin: Briefing for stalls was not properly done. There were still stalls who didn’t know what to do. Stall owners came late. Wasn’t aware they has to keep their money in a box. Some classes accepted real cash and kept the money for themselves*. Major problem. Some stalls accepted tickets without stamps. Tickets could be colour photocopied. Not enough Game stalls. Haunted house wanted to back out last minute. Maybe we should implement some penalty when they want to back out last minute. Roles of ICs were not well defined. Horizontal structure works better for our wing. Continual changes of committee and ICs, confuses the other councillors, not well planned. Admin booth at first didn’t need help so councillor decided to leave. Miscommunication between council and stall owners. Missed out  a lot of inforamstion . No proper contingency plan. Forgot to get email addresses of stall owners.

Steph: We did not think of having an emcee until the event itself. Neglected the publicity of the stalls- ‘ Suck my lollies’ Inappropriate messages.

Miss Olsen: Details were not tight- slightly disappointing where we should have been more consistent with small things. We started off obsessive, but this was very lax. We need a more macro view. Use experience. Decorations were insignificant- too small. Must have a better sense of proportion and scale. Produce what is appropriate for the space and event. Requires more foresight and visualization.

Points to consider: Present check to Mrs Kong/ Top class to be credited?

Comments from Mr Tan:

-          A lot of points that we generated the last time were unnecessary

-          We don’t have much of a basis of what to ask the students

-          Focus groups should not have mrs kong around???

-          It will be held in like week 5 or 6 of this term

-          Categorization (Eg disciplinary—hair colour)

-          Must split J1s and J2s up

-          Therefore now there are 3 sessions—JC1 HTCs, JC2 HTCs and J2 CCA leaders

-          There must be  a pre-forum, pre focus groups

-          We need to think of relevant information for the form

-          We need to sieve out which are the comments given by the students that to the school cannot be compromised , eg high cuts shoes and  non-white based shoes

-          We need to clear out any grey area, eg length of girl’s skirt

-          Creating designated house com areas—very good for house identity

-          Update on current policies

-          Involve more students from non-affiliated schools—how are we gonna make them feel more involved in our schools. Even in council, we are dominated by SJI and IJ girls.

-          Extended night study period? Not to have such strict regulations such as the timing? If ppl really have reasons for them to leave early eg they are sick or sth happened at home suddenly, then they should have been granted to be able to leave early. —-leave a  small area for the late comers to study at so it doesn’t need to be so stringent on the arrival timing

-          Councillors need to look into the issues of girls skirts

-          Short skirt issue in our school is getting a bit out of hand especially the J1s

-          Think of what we could do as a council to help salvage this problem. Measure skirt length by kneeling on the floor?

-          Because it is a little hard for the PE department to check on the shirts as majority are guy PE t shirts
